Privacy Policy

1. What we collect

Trusted Circle collects the following information:

• Account information: your name and email address, handled by our authentication provider, Clerk.
• Circle contact information: names, phone numbers, email addresses, relationships, and emergency/backup contact details you add for the people in a Circle - including people who never sign in themselves.
• Call metadata: timestamp, the phone numbers involved, call status (e.g. answered, no answer), duration, and which contact answered. We never record or store call audio.
• Billing information: subscription and payment status. Card details are collected and processed directly by Stripe - we never see or store your full card number.
• Usage data: basic technical logs (e.g. request timestamps) needed to operate and secure the service.

2. How we use it

• To operate a Circle's emergency line - routing an inbound call to the right list of call receivers.
• To show your Circle its own call history and contact list.
• To send drill-reminder emails and account/billing notifications.
• To process subscription payments.
• To maintain the security and reliability of the service.

We do not sell your personal information, and we do not use it for advertising.

3. Who we share it with

We share data with the following service providers, each acting on our behalf and bound to protect it:

• Clerk - authentication and account management.
• Twilio - telephony: placing and routing calls to a Circle's number.
• Stripe - payment processing for paid subscriptions.
• Resend - delivering transactional emails (drill reminders, account notices).
• Railway - application hosting and database infrastructure.

We do not otherwise share your information with third parties, except when required by law or to protect the rights, safety, or property of Trusted Circle, our users, or others.

4. Calls are never recorded

Calls placed through a Circle's number are not recorded, transcribed, or stored as audio in any form. We only log the metadata described above (timestamp, numbers involved, status, duration).

5. Contacts who never sign in

A Circle can include people (e.g. children, or relatives who aren't comfortable with technology) who are added as contacts by a Circle admin but never create an account themselves. If you add someone as a contact, you're responsible for making sure they're comfortable with their name, phone number, and relationship being visible to that Circle, and for removing them if they ask you to.

6. Data retention

We retain Circle data for as long as the Circle exists. If a Circle (Clerk organization) is deleted, its contacts, call history, and associated phone number are deleted / released within our normal processing time. You can request deletion of your own account at any time.

7. Your rights

Depending on where you live, you may have rights to access, correct, or delete your personal information, or to object to certain processing. To exercise these rights, contact us at privacy@trustedcircle.help.

8. Security

We use industry-standard measures to protect your data, including encrypting sensitive credentials (such as Twilio subaccount tokens) at rest and using HTTPS for all traffic to the service.

9. Children

Trusted Circle accounts are intended for adults. A child may appear as a contact within a Circle (added by a parent or guardian), but we do not knowingly allow children to create their own accounts.

10. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we'll notify Circle admins by email.
